How to Use the U.S. Receipt Generator
Create a professional payment receipt. No signup needed.
Business details (Payee / Merchant) — enter your Business or DBA name, EIN / Tax ID (optional) and Address.
Identifies who issued the receipt.
Customer (Payer) — add the customer’s name and address/email (optional but recommended).
Helps with refunds, support, and bookkeeping.
Receipt basics — set Receipt # and the Date & time.
Use your local timezone; keep numbering sequential (e.g., RCPT-1001, RCPT-1002).
Payment method — choose Cash, Card, ACH, Check, etc. Add last 4 digits, Auth/Ref #, or Check #.
For cards, store only last 4 digits. Never collect full PAN/CVV in the form.
Line items (optional) — add Description, Qty, Rate.
The Amount column is calculated automatically as Qty × Rate.
Tax (if applicable) — set Sales tax, % to calculate Tax Amount.
If no sales tax applies, set the percentage to 0.
Totals & status — verify Subtotal, Tax Amount, and Total Paid. The receipt shows PAID and Balance: $0.00.
For partial payments, note the Amount Paid and remaining balance in the notes (if supported).
Notes / Policy — add return/refund policy, contact email/phone, or PO/reference.
U.S. federal law doesn’t mandate a specific receipt format; include clear totals and identifiers.
Generate PDF — click the green button. The PDF includes PAID status, method, last 4 (if card), and totals.
Delete a row: use the light “Delete” button at the end of the row.
Add items: press + Add item as many times as needed.
Tip: keep your receipt numbers unique and back up PDFs for accounting (e.g., monthly folders).
Common questions
• No tax? Set Sales tax, % = 0.
• Cash payment? Leave card fields blank; note “Cash” in method.
• Card payment? Enter last 4 and Auth/Ref # (if available).
• Different currency? Select it — it’s reflected in the PDF totals.
Do: include date/time, unique receipt #, method, and total paid.
Don’t: store full card numbers or CVV; receipts should not expose sensitive data.
If something looks off: edit fields and click Generate PDF again — totals and status update instantly.
